Accreditation is the whole filter

"Bookkeeper" is an unregulated title. Anyone can use it tomorrow. What separates a professional from a person with a spreadsheet is membership of a body:

  • ICB and AAT are the bookkeeping-specific qualifications.
  • ACCA and ICAEW members are accountants who may supervise bookkeeping.

Membership means professional indemnity insurance, a code of conduct, practice inspection, anti-money laundering supervision and a complaints route. Every firm here holds at least one, and it is the first thing to verify on any provider not on this list.

Three questions before you engage

  • Who owns the software subscription? It should be you.
  • Which body regulates you, and what is your firm number?
  • What is your Making Tax Digital plan for my business, and when?

Red flags

  • No named professional body anywhere on the site.
  • The Xero or QuickBooks subscription in the practice's name rather than yours.
  • A fee quoted without asking your monthly transaction volume. It is the main cost driver, so a quote without it is a guess.
  • No anti-money laundering supervision. It is a legal requirement for anyone providing this service as a business.
  • Records kept in a spreadsheet in 2026, with no MTD migration plan.

When to do it yourself

If you are a sole trader with a handful of invoices a month and no VAT registration, modern software genuinely does most of the work, and paying £150 a month to have someone categorise twelve transactions is poor value. Buy the subscription, connect the bank feed, and pay an accountant for the year end.

Hand it over when VAT registration arrives, when you take on staff, when the transaction count passes a few hundred a month, or when you notice you are doing it at 11pm on a Sunday and getting it wrong. The cost of a bookkeeper is almost always less than the cost of an accountant untangling a bad year, which is billed at accountant rates.

Frequently asked

Freelance bookkeepers charge £20 to £40 an hour, and more for catch-up or complex work. A fixed monthly package from a practice runs £100 to £400 a month for a small limited company, depending on transaction volume, whether VAT returns are included and how many bank accounts need reconciling. Bolt payroll on and add £4 to £8 per payslip with a monthly minimum. Anything advertised at £20 a month is software resale, not a bookkeeper. Volume is the variable that moves the price most, so give any quoting firm your real monthly transaction count.
