Two numbers decide everything

Cost per user per month, all in. Including setup amortised over the term, out-of-hours cover if you need it, and anything billed separately. One provider here publishes a full rate card; the rest quote after a call.

The SLA, in two parts. Response time is acknowledgement. Resolution time is the fix. A 15-minute response guarantee with no resolution target tells you how fast someone will say hello.

Everything else, the monitoring stack, the ticketing system, the vendor partnerships, is far less differentiating than the sales process suggests.

What to check before signing

  • Which Cyber Essentials? Base level is a questionnaire. Plus is an audit.
  • Who owns the Microsoft 365 tenancy? It should be you.
  • What is the offboarding process and what does it cost? Agree it while they still want your business.
  • Is onboarding included or extra? Commonly £500 to £1,500.

Red flags

  • A response-time guarantee with no resolution target anywhere in the contract.
  • Microsoft licences resold through the provider with the tenancy in their name.
  • No named certifications, or a Cyber Essentials logo with no certificate date.
  • A three-year term with no break clause on a service you can judge in three months.
  • Proactive monitoring described but not defined. Ask what is monitored and what triggers an alert.

When you do not need an MSP

Under about ten people, on Microsoft 365 or Google Workspace with laptops and no server, a reliable local engineer on a day rate plus good backup discipline is genuinely enough, and a fraction of a per-user retainer.

The point to buy managed support is when downtime has a measurable cost, when a client or insurer starts asking for Cyber Essentials, or when you cross roughly fifteen users and the person who "does the IT" is actually your operations manager. That is also when the security half of the offer stops being optional, because the compliance questions arrive whether or not you are ready for them.

Between roughly £40 and £90 per user per month for fully managed support, and Inology publishes £55, £70 and £85 across three tiers, which is a fair benchmark. Below about £40 you are usually buying reactive support with no proactive monitoring. Above £90 you should be getting security operations, strategy and compliance work rather than a faster helpdesk. Watch for setup or onboarding fees, commonly £500 to £1,500, and for out-of-hours cover being a separate line, which it usually is.
